Project Administrator I
POSITION SUMMARY
This role manages custom designed equipment orders or projects as assigned. This includes external and internal communications, both written and verbal, to ensure design, engineering, manufacturing, testing and contractual obligations have been completed, resulting in successful operation, customer satisfaction and prompt payment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following are standard performance requirements for this position. This list does not

Receive, review, organize and coordinate the receipt of all contractual documents, including external client supplied information required for Company acceptance, order entry and design work to begin.
- Determine operating factory where in factory equipment will be engineered, manufactured and tested.
- Follow all procedures defined in the work instructions for sales entry in the operating system(s) to describe and identify equipment ratings, INCO terms, shipping terms, warranty, testing, engineering, sales, finance, 3rd party certifications, customer supplied items, manufacturing, risks and scheduling requirements.
- For external builds: create requisition for purchase, submitting to Business Unit Manager for approval and to Purchasing for purchase order creation. Submit approved purchase order and contractual documents to external factory for engineering and manufacturing, communicating contractual requirements and obligations for mapping and scheduling
- For internal builds: Hold, attend and/or request contractual/design meetings with internal departments, including Sales, Engineering, Planning, Purchasing, Quality Assurance, Manufacturing and Test to accurately map and detail contractual requirements.
- Confirm job status for situational placement in scheduling engineering and manufacturing performance and to Management for Company financials.
- Receive, review and submit drawings, schematics, quality assurance plans, procedures and other contractual documentation to external client(s) for design review and approval in a timely manner.
- Hold, attend and/or request design meetings with external clients to support design review approval, and/or release to manufacturing, submitting required document to internal department (or external factory) when job status changes.
- Schedule “Order Entry Meetings” with Engineering, Planning, Purchasing and
- Manufacturing, to release job to manufacturing, when external client design approval is required.
- Review external client markups, determining whether requested changes or new requirements are applicable to the job per contract, submitting markups to internal departments (or external factory) when necessary.
- Review industry specifications, project specifications, and customer contractual documents to confirm design compliance with job requirements.
- Engage with internal departments (or external factory), including: Engineering, Planning, Purchasing, Quality Assurance, Manufacturing and Test to identify and outline client changes to the scope of supply and lead-time(s), and with Management to properly assess the value of said changes.
- Negotiate pricing and lead-time for scope changes with external clients, confirming acceptance in writing.
- Create change notice(s) through the applicable operating system for alterations to the scope of supply, and distribute requirements to all relevant internal departments, updating operating systems when necessary.
- Verify changes to the scope of supply have been implemented, submitting revised job documents and schedules for external client approval.
- Maintain consistent and open dialogue with external clients, and Company field sales, providing current and relevant information regarding job status to preserve contractual obligations for client satisfaction.
- Submit project schedules to external clients in a timely manner that communicate engineering, manufacturing, in-process and final testing dates for client schedule arrangement.
- Maintain accurate and up-to date job maps and schedules to provide instant feedback when required by either internal or external clients.
- Host clients, client representatives and/or 3rd parties for meetings, inspections, in-process testing and final testing.
- Support the procurement of external client furnished items by providing tag details for proper receipt and storing through TECO-Westinghouse Receiving Department and equipment drawings for inspection by TECO-Westinghouse Quality Assurance Department.
- Attend weekly production meetings with Purchasing and Planning, to maintain awareness of ongoing status of engineering, manufacturing, issues and/or risks that may affect the Company’s contractual obligations and financials, and external client requirements.
- Attend weekly departmental staff meeting to review individual job status, communicating external client feedback, manufacturing information, and potential risks to Company financial plan.
- Confirm shipping requirements and addresses, updating operating system(s) when necessary.
- Communicate with Finance Department to release accounts for on-time shipment. Coordinate with external clients and/or their representatives for delivery to required location.
EDUCATION AND EXPERIENCE
- Bachelor’s degree (Engineering and/or Business Administration preferred) from a four-year college or university; or three to five years related project/contract experience; or motor experience and training; or equivalent combination of education and experience.
